How to use this construction invoice
- Put the job name or site address in the reference field.
- List labour by trade or person, with hours and hourly rate.
- Add materials as one line per supplier or category.
- Add equipment hire and waste disposal separately.
- For stage payments, enter earlier payments as “Amount paid” or note the stage in the notes.
Labour and materials on separate lines
Clients, inspectors and accountants all want to see labour and materials separately. It also matters for tax in some places, where different rates or rules apply to materials, labour or new builds. If that applies to you, switch tax to “Rate per item” and set the right rate on each line — and confirm the rules with your tax authority or accountant.
Progress (stage) invoices
Larger jobs are often paid in stages: a deposit, payments at agreed milestones (foundations, first fix, second fix) and a final payment on completion, sometimes with a retention held back until defects are fixed. Name the stage on each invoice and keep a running total in the notes so the client always knows where the project stands.
Frequently asked questions
How do I show a deposit on a construction invoice?
Enter the deposit under “Amount paid”. The invoice shows the full total, the deposit and the remaining balance due.
Can I add a markup on materials?
Yes — price the materials line at your selling price. Whether you show the markup is up to you and your contract.
How do I quote a job before starting?
Switch the type to Quote, list the expected labour and materials, and set a “Valid until” date — material prices change, so 14–30 days is common.
Can I add retention or a discount?
Use the Discount field for discounts. For retention, add a note explaining the amount held back, or invoice the retention separately when it is released.
