What a rent receipt should show
A useful rent receipt shows the landlord’s name, the tenant’s name, the property address, the period the payment covers, the amount, the date received and the payment method. A unique receipt number makes it easy to refer to later. Tenants sometimes need rent receipts as proof of address, for housing or tax-related claims, or when applying for a new tenancy — so a clear, dated receipt helps both sides.
Deposits and late rent
Issue a separate receipt for a security deposit, and say clearly in the description that it is a deposit and not rent. Many places have rules on how deposits must be held and documented, so check your local requirements. If the tenant paid only part of the rent, untick “Paid in full” and enter the amount received so the receipt shows the balance remaining.
Frequently asked questions
Do landlords have to give rent receipts?
In some places landlords must provide receipts, especially for cash payments; in others it is optional. Check the rules where the property is. Giving one is good practice either way.
Can I make one receipt for several months?
Yes. Add one line per month, or one line with “Rent for January–March” and a quantity of 3.
Should the receipt be signed?
A typed name is often enough, but you can print the PDF and sign it, or add “Received by: [your name]” in the notes.
Can tenants use this to make a receipt for their landlord to sign?
Yes. Fill in the landlord’s name in the business section and the tenant in “Received from”, then ask the landlord to confirm and sign it.
