How to use this web design invoice
- Name the milestone and how far along the project is (for example “2 of 3”).
- Add hourly work for extras or change requests as a separate line.
- List third-party costs — domains, themes, plugins — so the client sees what they are buying.
- Add recurring hosting or maintenance with the number of months as the quantity.
- Download the PDF and send it with the milestone deliverable.
Milestone billing for website projects
A common structure is a deposit before work starts, a payment when the design is approved, and the balance at launch. Each milestone gets its own invoice with a line that names it, so there is never confusion about what has been paid. With Pro, duplicate the previous milestone invoice and just change the line and dates.
Recurring hosting and maintenance
For care plans, bill a quantity of months × the monthly price, or one line per period (“Maintenance — Q3”). Mention in the terms what the plan covers, such as updates, backups and an hour of small changes per month, so that extra work can be billed separately.
Frequently asked questions
How do I invoice change requests?
Add them as separate hourly lines (“Change request: new contact form — 3 h”) so they are not confused with the agreed project fee.
Should I bill domains and plugins at cost?
That is up to your agreement with the client. Either way, describe them clearly and note “at cost” or the licence period.
Can I show tax on some lines and not others?
Yes. Choose Tax → “Rate per item” and enter a rate only on the lines that are taxable.
Can I send an estimate first?
Yes — switch to Quote (or set the title to “Estimate”), then convert it to an invoice once the client accepts. Conversion is a Pro feature; on the free plan, switch the document type instead.
