How to use this photography invoice
- List the session or package first, then add-ons like a second shooter or extra hours.
- Add products (prints, albums) with quantity and unit price.
- Add travel as kilometres or miles × your rate, or as a flat fee.
- Enter the booking deposit under “Amount paid” so the balance due is clear.
- Mention the image licence in Terms, then download the PDF.
Deposits and balances
Most photographers take a booking deposit to reserve the date and invoice the balance before the event or before delivering the gallery. Enter the deposit as “Amount paid” and the invoice will show the total, the deposit and the balance due. When the balance is paid, switch the document to a receipt or issue a new one so the client has proof of payment.
Usage rights on photography invoices
For commercial shoots, the licence is part of what the client pays for. Use the Terms box to state what the client may do with the images (for example “web and social media use for 12 months”) and what needs a separate agreement. For personal sessions, a short line about personal use is usually enough.
Frequently asked questions
How do I charge mileage on a photography invoice?
Add a line with the distance as the quantity and your per-km or per-mile rate as the unit price — for example 120 × 0.45. Or charge a flat travel fee as one line.
Should I list every print separately?
Group identical items: one line for “8×10 prints” with a quantity of 10 is clearer than ten lines.
Can I send a quote before the shoot?
Yes. Switch the document type to Quote, set how long it is valid, and send it. With Pro you can convert the accepted quote into an invoice in one click.
Can I add my studio logo and colours?
Yes. Upload your logo and pick an accent colour in the Look section; Pro adds the Bold template with a full colour header.
