How to use this philippines invoice

    1. Add your business name and your TIN in the “Tax / VAT ID” field. It shows as “TIN” on the invoice.
    2. Add your client’s name and address, and their TIN if they are a business.
    3. List the goods or services in pesos, or in the client’s currency for foreign clients.
    4. If you are VAT-registered and need VAT on a quote, turn on Tax in Totals and set 12%.
    5. Add your bank or GCash details in the notes, then download the PDF.

    Important: BIR-registered invoices

The Bureau of Internal Revenue (BIR) requires businesses to issue BIR-registered invoices: printed invoices need an Authority to Print (ATP) with an approved serial range, and computerised or electronic invoicing systems must be registered with BIR. Under the Ease of Paying Taxes (EOPT) Act, the invoice is the main document for VAT, and BIR is expanding its Electronic Invoicing System.

A PDF made here is not a BIR-registered invoice, so the preset starts with tax off. It is useful for:

    • quotations and proforma invoices before a sale
    • a billing statement to foreign clients, alongside your official invoice
    • payment requests and records of your own

Check bir.gov.ph or ask a tax adviser for the rules that apply to you.

What a Philippine sales invoice shows

    • Your registered name, address and TIN with branch code, labelled “VAT Reg. TIN” or “Non-VAT Reg. TIN”.
    • VAT at 12%, shown separately from the VAT-exclusive amount, only if you are VAT-registered.
    • The buyer’s name, address and TIN for business sales, the date, and a description of the goods or services.
    • BIR details such as the ATP or system registration number and serial range, which only a registered invoice can carry.

Non-VAT businesses usually pay percentage tax instead of charging VAT.

    Frequently asked questions

Is an invoice from this template valid for BIR?

No. It is not a BIR-registered invoice, so it can’t replace your official invoice. Use it for quotes, proformas and statements to foreign clients.

What is the VAT rate in the Philippines?

The standard rate is 12%. Some sales, such as certain exports of services, are zero-rated. Non-VAT businesses usually pay percentage tax instead.

Where do I put my GCash number?

In the notes at the bottom of the invoice, with the account name.

Can I invoice foreign clients in US dollars?

Yes. Change the currency to USD in the editor. You still need to issue a BIR-registered invoice for the sale.
