Important: PDF invoices and SdI
Between parties established in Italy, a PDF is not a valid invoice. The real invoice is a FatturaPA XML file sent through the Sistema di Interscambio (SdI). A PDF made here is a courtesy copy (copia di cortesia), a proforma, or a valid invoice for customers outside Italy.
Invoiceferry is adding a FatturaPA XML export. You download the XML and upload it through the tax agency’s free Fatture e Corrispettivi portal or pass it to your intermediary. Invoiceferry does not send anything to SdI. Read the guide to e-invoicing in Italy.
What an Italian invoice must show
- Date and a unique sequential number.
- Your name, address and Partita IVA.
- The customer’s name, address and Partita IVA, or codice fiscale for a consumer.
- Description and quantity of goods or services.
- Taxable amount, IVA rate and IVA amount, or the legal reason for no IVA.
IVA rates are 22% standard and 10%, 5% and 4% reduced. Invoices are generally kept for 10 years.
Forfettario, ritenuta and split payment
- Flat-rate scheme (forfettario): no IVA and no withholding; the invoice cites art. 1, paragraphs 54–89, Law 190/2014, and needs a €2 stamp duty (marca da bollo) above €77.47.
- Ritenuta d’acconto: professionals billing a business usually have 20% withheld by the client, who pays it to the tax office.
- Rivalsa INPS 4%: professionals in INPS Gestione Separata can add 4% as a line; members of a professional fund add its contribution instead.
- Split payment: public bodies usually pay the IVA directly to the state (art. 17-ter DPR 633/72).
